How to organise your data for import

You can import stakeholders, interactions, properties, and tasks to Simply Stakeholders using your existing data in the form of an excel spreadsheet. The system will automatically match as many column headings as possible to our fields.

If we get it wrong, you can manually re-map.

But here are a few tips if you want to optimise your data for import.

Are there any mandatory fields you need to include in your data for import?

Yes, there are fields that are required when importing. Each mandatory field must be mapped to a column in your spreadsheet, whether automatically or manually. These fields are indicated with a red asterisk.

Each record type has different mandatory fields.

What are the mandatory fields when importing records?

Here is a quick reference guide to the mandatory fields when importing each record type.

Stakeholder import
(Contacts):

  • Full Name

  • First Name

  • Last Name
    (First & Last Name fields are not applicable if you use Full Name)

Stakeholder import
(Organisations):

  • Organisation

Interaction import:

  • Subject

  • Method

  • Direction

  • Communication Date

Property import:

  • Address Line 1

  • Country

  • County

  • Town

Task import:

  • Subject

  • Status

  • Priority

  • AssignedTo

  • Date Opened

Are there any specific terms you need to use when creating your import file?

Yes, there are some specific terms you need to use when creating your import file to avoid import errors.

For example, in a stakeholder import, the only values accepted for the Stakeholder Mapping fields (Interest, Influence, Impact, etc) are 1, 2, 3, 4, 5.

If any other value is used in these columns, the row in which it's used will not be imported.

Note:

The accepted values may vary depending on how your platform is configured.
