Simply Stakeholders has an optional (paid add-on) Module for managing Properties and Geo-Mapping your data.

The Properties Module is designed to manage records of parcels of land, and includes Geo Mapping which is an additional way to view Stakeholder and Interaction records.

You can link a Property record to Stakeholders, Interactions and Tasks. This is particularly helpful where you might have multiple stakeholders with different relationships to the property to manage; such as a property owner, property tenant, and shared access arrangements for land use.

You can view Property records on a map view, allowing you to view your records against mapping information, such as a KML overlay of a project area.

You can also view Stakeholder and Interactions records in a geographic map view, allowing you to visualise records against your project area or to see the geographic spread of engagement activities.

Exploring the Properties Module and Geo Mapping

What is a Property?

A Property is a record of an identified parcel of land that is of interest to your project / work. A Property record could include affected near neighbours, shared use arrangements, infrastructure, or more. The Property record has a number of cards that display information about the property and link to other record types in your Simply Stakeholders database.

Summary Tab:

  • Timeline: this card links the Property record to Interactions and Tasks related to the Property

  • Stakeholder: this card links to Stakeholders related to the Property and can be clarified with a Relationship field that identifies the Stakeholder’s relationship to the Property, i.e. Owner, Tenant, Lessee.

  • Tags: this card allows you to assign Tags to further classify or categorise the Property.

Details Tab :

  • Basic Info: this card includes Property Name, address, latitude and longitude details, as well as any custom fields you may include.

  • Notes: This is where you can add notes, comments or further details about the Property, as well as any custom fields you may include.

  • Projects: This is where you can share the Property record across other Projects and Project Groups within the Account.

  • Files: this is where you can upload or link files that are of relevance to the Property record.

What is Geo Mapping?

Geo Mapping is an additional view option for Stakeholder and Interaction records, which allows you to map your records or visualise your data geographically. To utilise this view your record must have an address or location included.

This is an excellent way to visualise the spread of engagement activities, view sentiment, identify hot spots or locate gaps in engagement.

Why use Properties?

The Properties module is an excellent tool to manage Stakeholders and engagement activities related to a parcel of land that is of relevance to your work or project. Information you may want to manage include contact information for property owners or tenants, interested parties (Stakeholders) and communications (Interactions) related to the land or use of land.

You can also use the Properties tool to highlight and select impacted properties or properties of interest and add them to your database for future engagement activities – such as door knock lists or mailout lists.

The Properties and Geo Mapping functions are an excellent way to visualise the spread of impacted properties and engagement activities; and to identify hot spots, areas of focus, or locate gaps in engagement.

What ways could I use Properties in my Stakeholder Engagement work?

The possibilities are endless!

  1. Energy sector example: Use Properties to manage shared access agreements for infrastructure like windfarms. Using Properties, highlight and add impacted properties to build out a list for door knock or calling activities. Use Geo Mapping to identify gaps in your near neighbours’ engagement activities.

  2. Local Government example: The Properties module is an excellent tool to manage Council owned assets and link to property tenants, managers, venue users and more. Geo Mapping is an excellent way to visualise Strategic Planning engagement activities, ensuring you are reaching key communities across your district.

  3. Community Engagement example: Manage community engagement activities in a zone or district – highlight impacted properties, map out streets for proactive engagement, use KML files to visualise project zones or district boundaries.

How do I get access to the Properties Module?
