How to import records

How to organise your data for import

Records can be imported using excel spreadsheets. Go to Organise your data for import to find out how to prepare your excel files.

How to import records

  1. Click the Admin Settings icon in the top right corner.

  2. Select Data Management, then Import Stakeholders / Interaction / Property / Task.

  3. Click Browse to search for and select the excel file (.xlsx) to import.

  4. When importing stakeholders, select the type of stakeholders to import - Contact or Organisation.

  5. Click Next.

  6. Map the data.

    Simply Stakeholders automatically matches (maps) the column headings from your import file to the corresponding fields in SSTK.

    Check that the fields have been mapped correctly. If a match in the Fields Mapped column is incorrect, click the Remove button and re-map it.

    Any fields that could not be mapped automatically can be mapped manually. To do this, match the field in the 'From your file' column with the relevant SSTK field in the 'To Simply Stakeholders' column.

  7. Click Next.

  8. The file will validate and show the results.

    An ORANGE error means there is missing information, but the row will still import without that information.
    A RED error means there is something wrong with the information in the excel file. This row will not import. You can update the file and re-import it.

  9. Click Import.

  10. The final page will show the results of the import. Details will include:

    • How many records were in the import file.

    • How many records successfully imported.

    • How many existed records were updated with information from the file.

    • How many records did not import.

    • A list of the records that did not import (if any).
