Have a look at how you can report on your Forms data.

There are several ways to report on your Forms data. Depending on how complex your form is, or the kinds of data you wish to analyse, depends on which format will work best for you. You can review how to set up your Form here.

Analysing Forms Data in-app

Once you have received your Forms responses, you can go into the Forms module and start to work your way through the responses to annotate, add sentiment and tags, and to draw down graphs.

  1. Go to Forms > [your Form name]

  2. To ensure your data is accurate, you may wish to close your Form to prevent responses coming in after you analyse your data - navigate to the Settings tab and then change Form Status to Closed:

  3. Navigate to the Responses - All or Responses - Individual tabs to see your results

  4. To look at aggregated responses, navigate to the Responses - All tab, then select the question you want to review:

  5. To look at individual responses, navigate to the Responses - Individual tab, then select the drop down to choose the individual response you want to review:

Qualitative analysis in-app

The qualitative data (open ended or free response questions) can be reviewed, annotated and tagged within the Forms module.

  1. Go to Forms > [your Form name]

  2. Navigate to the Responses - All or Responses - Individual tabs to see your results

  3. Individual: To look at individual responses, navigate to the Responses - Individual tab, then select the drop down to choose the individual response you want to review

  4. Click on Generate Tags

  5. Select the tags you wish to apply and click on Approve

  6. Then hover over the tag you wish to assign sentiment to and click + Add Sentiment

  7. Apply your sentiment, and click on any tag to add an existing Tag from your Project:

  8. Your responses will also have Auto-tagging applied:

  9. All / Aggregated responses: To look at individual responses, navigate to the Responses - All tab, then select the drop down to choose a Qualitative question you want to review

  10. Click on Generate Tags

  11. Select the tags you wish to apply and click on Approve

  12. Then hover over the tag you wish to assign sentiment to and click + Add Sentiment

  13. Apply your sentiment, and click on any tag or Select text from your responses to add an existing Tag from your Project:

  14. You can then take screenshots of this analysis, or export your Forms Data (see below).

Quantitative analysis in-app

The quantitative data (forced choice questions) can be reviewed and the charts manipulated from within the Forms module.

  1. Go to Forms > [your Form name]

  2. Navigate to the Responses - All tabs to see your results. Note that individual responses are not relevant to quantitative analysis.

  3. Select the drop down to choose a Quantitative question you want to review:

  4. You can then change the Chart Type:


    and the Order of the graph:

  5. If you have an "Other (describe)" option, you can also click show at the bottom next to Other items and comments

  6. This will give you the ability to select Wordcloud or Texts in table to display your responses:

  7. There are a number of graph options available, relevant to the style of question that has been asked.

  8. You can then take download the graphs by hovering over the graph and clicking on the Camera icon:


    Different graph types will have more expanded or restricted editing and download options

Exporting

You can export your Forms responses in an Excel format. To export your Forms response data:

  1. Navigate to the Interactions module

  2. Select Filters and apply a filter Interactions > Communication Details > Communication Method: Form Response

  3. You can then narrow down what Forms display by applying further Filters such as a Date Range; or Tags or Contact Group if created for your Form - see here for instructions

  4. Once you have the correct filtered view of the Form responses displayed, click on the Export icon in the top right and an Excel spreadsheet of your Forms data will be downloaded:

  5. You will get an Excel file with your data exported, note there are three tabs that include Annotations.

  6. The third tab Annotation: will show any Individual responses that you have annotated:
