Segmenting (Filtering) Your Records

Filtering records allows you to segment your data into date ranges, projects, work streams or other useful categories.

Segmentation

When you export your records they are exported in an Excel file format. If you have a lot of records, this may be challenging to review, so you may wish to segment your data using the Filters. Some common segmentations include:

  • Date range - e.g. quarterly, by financial year, by reporting period, or by the project stage

  • Using Tags or Contact Groups (Stakeholder records only)

  • By Method - e.g. Form Responses

  • By created by or interaction/relationship manager to see a user's records

  • Or a combination to create a specific sub-set of records

To filter your records:

  1. Click on Interactions* > Filters

  2. Select your filters > For interactions this includes the following categories:

  3. Choose a subset of your filters> for example Communication Details > Communication method > Form Response + Tags > Tags > Community Information Session then you can click into the main screen or click on Save applied filter if you will want to run that filter again.

  4. Then navigate to the top right of the screen and select the Export icon to export your filtered records:

  5. Your filtered records will now export in an .xlsx file format and save locally to your computer.

* NOTE: You can create saved filters in other functions, such as Stakeholders, Properties or Tasks, as well.
