Segmenting (Filtering) Your Records

Filtering records allows you to segment your data into date ranges, projects, work streams or other useful categories.

What is segmenting and filtering?

Segmenting and filtering data is a great technique to help organise and analyse large lists of records at ease. By applying filters, you can narrow down your data to focus on only the most relevant records, whether based on specific criteria, like date, location, tags, or type of record. This allows for quicker insights, better decision-making, and more accurate results. Whether you're looking for a particular group of stakeholders, a meeting you had 6 moths ago, or how often the theme of environment came up, filtering helps you find what matters most.

When would I segment and filter data?

There are a few scenarios where you might want to segment and filter your data, this could be:

  • When you want to run a Report on your Stakeholders or Interactions

  • If you want to Export your data to .xlsx

  • When you are searching for a common trend or group

Some common segmentations include:

  • Date range - e.g. quarterly, by financial year, by reporting period, or by the project stage

  • Using Tags or Contact Groups

  • The Type of Record - e.g. Individual or Organisation

  • By Communication Method - e.g. Form Responses

  • Who it was created by or the interaction/relationship manager

  • Or a combination to create a specific sub-set of records

Now that we know what segmenting is, and what scenarios we will use it, we will walk through some examples on filtering records for stakeholders and Interactions.

These are not the only types of records you can Filter, you can also filter Tasks and Properties using the same methodology.

How to filter Stakeholder records:

  1. Open Stakeholders > Filters​

  2. Using the dropdown options, set your required filters and click Apply;

    As an example, I want to find all of the Organisations who are in the Environmental Group, so my filters will be Contact Details > Type > Organisation + People & Groups > Contact Groups > Environmental Group

  3. If this is a common search that you will run frequently, click on Save applied filter, so that you can select it from the Saved Filters next time

  4. If you want to Export, click on the export icon in the top right;

Well done! You have now filtered your stakeholder list!

How to filter Interaction records:

  1. Open Interactions > Filters​

  2. Using the dropdown options, set your required filters and click Apply;

    As an example, I want to find all of the media articles about Accessibility, so my filters will be Communication Details > Communication method > Media Article + Tags > Tags > Accessibility

  3. If this is a common search that you will run frequently, click on Save applied filter, so that you can select it from the Saved Filters next time

  4. If you want to Export, click on the export icon in the top right;
