Manage Tags

The practice of tagging provides you and your team with quick and insightful information about stakeholders, topics, and trends.

Simply Stakeholders uses Tags as a way to classify or categorize records. Tags are customizable and can be setup by an Administrator in the Manage Tags function. They are designed in a tree like structure so that similar themes, topics or issues can be grouped and categorized.

To edit or manage Tags

Navigate to the Admin Menu located in the top right corner of your Simply Stakeholders account. From there, select 'Tracking and Data Organization' and then click on 'Manage Tags'.

Edit Existing Tags

To edit a tag, locate the ellipsis or kebab menu (three vertical dots) on the far right of the tag you wish to modify. You can choose to star or un-star to manage visibility for auto-tagging; share it with other projects; edit and rename; archive; or delete the tag completely.

Update and Share Tags

Select the tag you want to edit, make necessary updates (such as punctuation or editing the name), and choose to share it with new projects by ticking the appropriate boxes.


Create Parent and Child Tags

To organize tags, designate a parent tag (e.g., 'Communication') and drag other tags underneath it to create child tags. This helps in categorizing related tags. Note that the Tags will default to display alphabetically. You can add numbering to 'force' a different listing order.

Add new parent tags by clicking the 'plus' icon and naming the tag, ticking on/off Visibility and Sharing settings.

Add Sub Tags (child tags)

Add Child tags by clicking the '+ Add subtags' button. You can also manually drag and drop tags to sit under the relevant parent tag.

Assign Tags to Record Types

Tags can be applied to various record types including stakeholders, properties (optional module), interactions, and tasks. Select the relevant categories to apply your parent and child tags.


Merge and Manage Synonym Tags

Simply Stakeholders uses AI to identify and group synonym tags. Click the green button "Synonym Tags" to identify and group synonym tags. This helps in grouping similar tags together for better organization and classification.

Once you have grouped Synonym Tags, the Manage Tags interface will show an inbox file icon to indicate that there are Synonym Tags available. Click on the kebab menu to view grouped tags:

Merge Duplicate Tags

To maintain a simple and efficient tagging system, use the 'Merge Duplicate Tags' option, green button located in the top right corner, to eliminate redundancy and duplicates.


View Archived Tags

You can elect to archive tags you wish to keep applied to existing records, but no longer want available to add to new records. If you need to review any archived tags, click on 'View Archived Tags' to access them.

Notes

  • Ensure you have the necessary permissions as an account administrator before attempting to manage tags.

  • Be cautious when deleting tags, as this action is irreversible and may affect data organization. Merging or archiving tags may be a better approach in some cases.

  • When merging tags, double-check to avoid losing important distinctions between similar tags.

  • Regularly review and update tags to keep the tagging system organized and relevant.

  • Utilize the parent-child tag structure to simplify navigation and management of related tags.
