Tags

Tags identify the emerging themes, topics, or issues within your engagement with stakeholders.

What are tags?

Tags are customizable and can be added to record types. They work like keywords in that they help you find and group information. Tags are designed in a tree-like structure so that similar themes, topics or issues can be grouped and categorized more effectively.

Tags can be assigned to the following record types:

  • stakeholders

  • interactions

  • tasks

  • properties

  • forms questions.

Why should I use tags?

Tags save time

Tags save you time by helping you to group information, making it easier to search, filter, and report.

Tags improve engagement

Tags can also enhance your engagement with stakeholders by showing patterns and trends, depending on the tags you use and their consistent use.

Tags can be auto-generated

If administrators have set up auto-generation, you have the option to automatically generate tags for stakeholder, property, interaction, or task records. Refer to Add tags to records.


How do you manage tags as an administrator?

Note:

You need to be an admin or project admin to access tags settings.

How to add a tag

  1. Click the Admin Settings icon in the top right corner.

  2. Select Tracking & Data Organisation, then Manage Tags.

  3. Enter the name of the tag.

  4. Select the relevant settings for the tag.

  5. Click Add.

  6. to add a subtag (child tag), hover over the parent tag and click + Add subtag. Enter the name of the tag, select the relevant settings for the tag, and click Add.

How to edit a tag

  1. Click the Admin Settings icon in the top right corner.

  2. Select Tracking & Data Organisation, then Manage Tags.

  3. Click the ellipsis at the right-hand side of the tag to be edited.

  4. Make your edits, e.g:

    1. toggle visibility across the project

    2. share with other projects

    3. archive or delete the tag

    4. edit the name.

  5. Your changes will be saved automatically.

How to make tags available for auto-generation

  1. Click the Admin Settings icon in the top right corner.

  2. Select Tracking & Data Organisation, then Manage Tags.

  3. Select the green tick under the relevant stakeholder, property, interaction, &/or task icon. This will make the tag available for each record of that type to manually select or auto-generate.

  4. Your changes will be saved automatically.

How to merge tags

Important:

  • Merging or archiving may be a better approach than deleting tags. Deletion is irreversible and may affect data organization.

  • When merging tags, double-check you won't be losing important distinctions between similar tags.

Note:

Tags can only be merged when they're on the same level, i.e. both at parent level or at child level.

Merging any parent tags will automatically combine all child subtags linked to it.

  1. Click the Admin Settings icon in the top right corner.

  2. Select Tracking & Data Organisation, then Manage Tags.

  3. Hover over each tag to be merged and select the checkbox next to it.

  4. Click Merge selected tags.
    Note: You also have the option to merge duplicate tags to eliminate redundancy.

  5. Select the tag name you want to keep as the name for the merged tags.

  6. Click Merge.

What are synonym tags?

AI can use synonyms to identify tags in your system/project that have similar names. This gives you the opportunity to group similar tags for clearer filtering and reporting.

How to group similar tags

  1. Click the Admin Settings icon in the top right corner.

  2. Select Tracking & Data Organisation, then Manage Tags.

  3. Click Synonym Tags. This will generate a list of all tags that have similar sounding tag names, and how many similar names there are for each.

  4. Click a tag in the Main Tags column on the left. This will show the tags with similar names.

  5. Click the cross icon next to any synonym tags that you do NOT want to group.

  6. Click Group Synonyms to group the remaining synonym tags with the main tag.
    Note: Any child tags will be grouped together.

  7. Once you've grouped similar tags, the Manage Tags interface will show an inbox icon to indicate that there are associated synonym tags. Click the ellipsis on the right to view the grouped tags, and ungroup them if required.
